How to Plan a Golf Trip: The Organizer's Step-by-Step Guide

By the Curated Golf Trips concierge team · Updated · 8 min read

1. Agree on the non-negotiables first

Before anyone falls in love with a destination, get the group to agree on three things: the budget per person (before airfare), the dates or at least the month, and how much golf people actually want. These three answers eliminate most of the map.

A quick group poll works well. Ask for a budget range rather than a number, and ask who will play 36 in a day versus who wants afternoons at the pool.

  • Budget per person, excluding flights
  • Travel window and number of nights
  • Golf intensity: 18 holes a day, 36, or a mix
  • Lodging style: resort rooms, shared rental home, or on-course cottages

2. Match the destination to the season

The biggest planning mistake is picking a great destination in the wrong month. Scottsdale and Palm Springs are superb from January to April but brutally hot in summer. Northern Michigan, Wisconsin and Bandon shine June through September. Pinehurst, the Carolinas and Georgia peak in spring and fall.

Use our month-by-month guide to see which destinations are in prime season for your dates.

3. Book lodging and tee times together

At many top destinations — Pinehurst No. 2, Pebble Beach, Sea Island, Shadow Creek — the best tee times are tied to a resort stay. Booking lodging first and then hunting for tee times often leaves groups shut out. Price stay-and-play packages against a rental house plus public tee times.

For groups of eight or more, rental homes often win on cost and camaraderie, while resorts win on logistics.

4. Collect deposits early

Resorts and courses typically require deposits and have cancellation windows for group bookings. Collect a deposit from each golfer before you commit the group — it's the single best way to lock in a headcount.

5. Build a realistic daily rhythm

One morning round per day with an optional afternoon replay or short course keeps everyone happy. Leave travel days light: an afternoon round on arrival, a morning round on departure.

  • Arrival day: afternoon warm-up round
  • Main days: headline course in the morning, optional replay or par-3 in the afternoon
  • Departure day: early round, then airport

6. Handle the money cleanly

Publish a per-person price that includes lodging, golf, ground transportation and group meals, and keep a small buffer for incidentals. Payment apps make reimbursement simple, but a single organized proposal with clear line items avoids awkward conversations.

Common questions

How far in advance should you plan a golf trip?

Six to nine months for popular destinations in peak season, and 9–12 months for Bandon Dunes, Pebble Beach or Pinehurst No. 2 in spring or fall. Off-season trips can come together in a few weeks.

What is a good group size for a golf trip?

Eight to sixteen golfers is the sweet spot — two to four foursomes. It's big enough for team games and package discounts, and small enough for a single rental home and dinner table.

Do I need a golf travel concierge?

Not always, but it helps for larger groups, bucket-list destinations with stay-to-play rules, or multi-resort itineraries where tee times, lodging and transportation must line up.
